Messages landing in customers' spam folders, or a mailbox nobody can open after a colleague leaves, usually trace back to an incomplete mail server setup. A properly planned email server setup gives you mail on your company domain, on a server you own, configured so your messages get delivered. Depending on company size, we recommend Exchange, Zimbra or an open-source Postfix stack.
Email server setup for businesses means installing and configuring mail on your company domain, on a server you own, so that messages reach inboxes. It fits companies whose emails land in customers' Gmail spam folders, whose staff write from personal accounts, or who do not want company correspondence on a foreign service. Depending on company size, PikoSystem installs Microsoft Exchange, Zimbra or Postfix with Dovecot, sets MX, SPF, DKIM, DMARC and PTR records and tests them with mail-tester, adds spam and malware filtering with Rspamd and ClamAV, connects sign-in to Active Directory, configures Outlook and mobile sync, and migrates existing mail with IMAP sync or the Exchange migration tools. You receive a running mail server with admin access, DNS records with deliverability test results, a staff setup guide and a mailbox backup and restore procedure.

Exchange 2016 and 2019 reached end of support in October 2025 and no longer receive security updates. Their successor, Exchange Server Subscription Edition, allows an in-place upgrade from Exchange 2019 CU14 or CU15 but requires subscription licensing. Before installing, we check whether that license can be obtained through a legitimate route. If it cannot, Exchange is not a sustainable choice for your company.
The alternatives run on Linux: Zimbra, or Postfix and Dovecot with Roundcube or SOGo for webmail. SOGo syncs calendars and contacts to phones over ActiveSync and to Thunderbird over CalDAV, which covers most of what staff actually use.
Many VPS providers block outbound port 25 by default, and until they approve a request to open it, your server cannot deliver mail to anyone. Before work starts, make sure you have a static IP, the ability to set a PTR record, and access to your domain's DNS management.
Put together a list of mailboxes, aliases such as info and sales, and the current size of each mailbox. If staff have been using POP3, their old mail lives only in PST files or Outlook folders on their own PCs, and it has to be migrated separately from the old server.
DMARC records are usually created with p=none to collect reports, then left that way for years, where they do nothing to stop spoofing of your domain. Once the rua reports show legitimate mail passing, the policy should move to quarantine and then to reject.
Missing per-account sending limits are another problem. One leaked staff password is enough for the server to send thousands of spam messages overnight and land its IP on Spamhaus. On Exchange, a backup that is not Exchange-aware never truncates the transaction logs, and the database disk slowly fills up.
TLS certificates on ports 465, 587 and 993 must be renewed before they expire, or staff Outlook clients stop with certificate errors. The server IP's blocklist status, the outbound queue (mailq on Postfix) and DMARC reports need regular checks.
Do not postpone security updates. Mail servers are a frequent target, and vulnerabilities such as ProxyShell in Exchange were still being exploited on unpatched servers long after the fix was released.
We look at user count, your current email service, the need for calendars and shared mailboxes, and where the server should run.
We prepare the server, request a static IP and PTR record from the provider where needed, and plan the DNS changes.
The server is installed and configured, and existing mail is moved with IMAP sync or the Exchange migration tools.
We test sending, receiving and spam scores, switch the MX record at a quiet time, and hand over access and guides.
Usually one of the SPF, DKIM or DMARC records is missing, the PTR record does not match the server name, or the server IP is on a blocklist. We find and fix these with proper testing. If the IP is blocklisted, we also file the delisting request.
Exchange works closely with Outlook and Active Directory but needs Windows Server and Exchange licenses. Zimbra runs on Linux and its open-source edition has no license cost. The choice depends on user count, budget and how much you rely on shared calendars and resources.
An on-premises server keeps your data fully under your control but needs a static IP and a stable internet line. A VPS in a data center avoids those constraints. Many companies combine the two, with an edge server receiving mail and the mailboxes kept in-house.
Yes. Messages and folders are migrated, plus contacts and calendars where the old service allows it. The MX record is switched when inbound mail is lowest, and a final sync picks up anything that arrived in between.
